Gilbarco Passport POS Soon to Support Fuel Prices Over $9.999
With the rising fuel prices, there have been some concerns about the ability to sell fuel at prices above $9.999 per unit. Gilbarco has heard these concerns and is addressing them by developing a feature within Passport POS to enable fuel prices above $9.999 per unit. We have received the suggestion to sell fuel at half-gallon or quarter-gallon increments; however, this is not allowed in most states as it tends to mislead consumers who have come to expect the displayed prices to be for whole gallons. So Gilbarco is working towards a more universally accepted solution that will keep whole-gallon units and allow a price $10 or higher.
The solution keeps a 4-digit price, but shifts the decimal place (i.e. $X.XXX becomes $XX.XX), enabling prices at $10 per unit or higher. As a consequence, fuel must be sold to the penny rather than to the tenth of a cent.
Implementation of this solution works as follows:
Changing to the two-decimal price format will be a toggle option within Passport’s Manager Workstation.
The format change must be applied to every fuel grade and every dispenser at the site. If the two-decimal format is selected, then all prices will be limited to two decimal places even if the price is below $10 per unit.
To comply with Weights & Measures, all dispenser price displays should be changed to reflect the two-decimal prices. Changing the price format on the dispenser must be done on the dispenser itself, it cannot be done through Passport. Depending on the dispenser hardware, a technician may be required to configure the dispenser price display.
On Gilbarco Veeder-Root dispensers, this change cannot be completed by the Insite360 Forecourt remote management tool.
To comply with Weights & Measures, all price signs should be changed to reflect the two-decimal prices. Most electronic price signs are not capable of receiving and displaying the two-decimal format. To avoid automatically pushing a price that will be incorrectly displayed on the price sign, Passport will revert to a manual price sign configuration when configured for a two-decimal price format.
Note, this feature is only necessary for sites selling fuel at $10 or more. Sites selling all fuel grades below $10 per unit will experience no change. This feature is planned to be released as a maintenance pack for Passport versions 21.02 and 21.03. Release is targeted for the end of September 2022, pending network approval.

This is a notice that Gilbarco has decided to end of life the Passport Edge product. Gilbarco has stopped selling new hardware and services for Passport Edge as of July 1, 2021. We sincerely appreciate your support of the Passport Edge product, and your understanding with any inconvenience caused by this end of life.
Service End Date: On December 31, 2021, all existing Passport Edge services will be terminated. The services included are help desk, Insite360, hardware warranty, and software updates. Until Cancellation a site will continue to be invoiced for their Passport Edge system and/or service. All invoicing for Passport Edge systems and service will cease December 31st if the contract has not been cancelled prior to that date.
Replacement Options: Gilbarco will waive all Passport Edge subscription cancellation fees. We will also offer sites the ability to keep the existing Edge hardware. The site will need to purchase a Passport trade-up and receipt printer (the IP based Edge receipt printers are not supported by Passport). They can utilize most of the Edge hardware including PIN pads, cash drawer, UPS, keyboard, mouse, etc., in order to minimize replacement costs. An annual PSO contract will also be required between the site but reactivation fees will be waived if necessary until the end of the year. The site can contact contract services at 1-866-606-8969to sign up for PSO.
Existing Hardware: For all existing Passport Edge hardware, the title will transfer to the end customer, and can be re-purpose or donated.

When you fill up at a gas station, it’s likely that you’re one of many people getting gas at the same time.
At busy gas stations and c-stores there are multiple transactions happening at one time. In fact, the average c-store dispenses just over 4,000 gallons of fuel per day!
With all that fuel pumping out of the storage tank, how does the site operator maintain an understanding of the current inventory, how much has been sold that day, and the amount of inventory that they started with? This basic information is what they will need for inventory reconciliation, which is the process of making sure that they can account for all the fuel that has been dispensed.
If there is a difference between the amount of fuel that records say are in the storage tank and the actual amount of fuel in the tank, then there is a fuel variance. There are two likely scenarios for the loss, either there is an adjusted loss or an actual physical loss of the fuel.
Adjusted losses accrue when key records of fuel transfer don’t match up. It’s common when the bills of lading, delivery confirmations, automatic tank gauges, and point-of-sale equipment may all supply a different record of the transaction. Contributing to the issue are tank charting and equipment errors, which can mask any actual fuel losses.
Physical loss might happen if there was a leak that went undetected, a meter drift, theft or delivery discrepancy, or even a change in temperature that causes fuel contraction or expansion in the tank.
What Can We Do About it?
The first step is to confirm that the equipment at your gas station is maintained and operating correctly. You then want to ensure that you have accurate tank charts for your site. The next step is to implement a daily reconciliation and variance tracking method.
C-Store owners should also take advantage of remote connectivity options that allow them to check on their inventory and site status from anywhere.
Automating The Process
The most accurate way to generate a tank chart is to use AccuChart on your Veeder-Root TLS Automatic Tank Gauge. This application takes frequent measurements and reports back when there is a statistically significant data set for creating an accurate tank chart.
BIR tracks all the fuel that enters or exits each of your underground tanks, accounting for all delivery and dispensing activity. It automatically collects metered sales information from electronic and mechanical dispensers and generates accurate delivery and reconciliation reports.

But beyond the regulations, fuel costs money – it’s the single most expensive inventory item for gas stations – and leaks or other fuel losses are costly!
Managing Compliance
Once you’re done filling up, there is an entire monitoring system at the gas station that tests the fuel lines for any potential leaks and monitors important spaces around the site to ensure they’re dry. This system is called an automatic tank gauging system which includes a console, like the TLS-450PLUS ATG, series of sensors throughout the gas station, and probes in the underground fuel tanks.
The automatic tank gauge system has many functions at a gas station, but at its core it provides the owner and store operator with reports that prove the site isn’t leaking fuel and provides the fuel inventory data needed to run the station. These reports are provided to EPA inspectors to ensure gas stations are complying with the regulations.
Fixing Issues Immediately
It’s important to have the appropriate reports, but leaks must be addressed in real time, and that is where the ATG console is also working like a security system for the fuel site.
When an issue is detected in the fueling system, the TLS-450PLUS ATG records a condition result and generates an audible and visual alarm for the store operator. Employees at the site can then follow their protocol for addressing the issue.
The guiding principle is ensuring that the gas station is safe for customers and meeting regulations.
